Room Booking Terms and Conditions  

At AHBS, we value your time and appreciate your business. To ensure fair access to our  facilities and deliver the best possible service, all room bookings are conditional on the  following:  

  1. General Use 

o Only the specific room booked is included in your hire  

o Staff-only rooms, toilets, internal workspaces, kitchen, and any operational  areas are strictly excluded from visitor access.  

o Printing and scanning facilities are not included.  

  1. Cancellations 

o More than 48 hours before the scheduled booking:  

No cancellation fee will apply. Any fees already paid will be fully refunded or  credited toward a future booking.  

o Within 48 hours of the scheduled booking:  

The full booking fee will be charged. This applies regardless of the reason for  cancellation, including illness, weather, or unforeseen personal circumstances.  o Non-attendance (No-Show): If you do not attend your booking and fail to provide  at least 48 hours’ notice, the full booking fee will be charged.  

  1. Cancel or Reschedule 

o To cancel or reschedule your booking:  

Use the Cancel or Reschedule link provided in your invitation email.

Please note: Your cancellation or rescheduling request is only considered effective  once we receive and acknowledge your communication.  

  1. Responsibility and Damages 

You must leave the room in the same condition as it was provided. This includes  disposing of any waste, returning furniture to its original arrangement, and ensuring that  no personal items are left behind. The booking party is responsible for any damage or  breakages to AHBS caused by attendees or associated individuals. AHBS accepts no  liability for injury, damage, or loss of any kind, however caused.  

  1. Workplace Health and Safety 

It is your responsibility as the visitor to comply with all relevant sections of the South  Australian Workplace Health and Safety Act, 2012  

  1. Legal Disclaimer 

By booking with AHBS, you agree to comply with this cancellation policy. AHBS reserves  the right to amend this policy at any time without prior notice. Refunds or credits, where  applicable, will be processed according to our standard payment terms and may take  up to 7 days. AHBS is not liable for any indirect or consequential loss resulting from  cancellations or room unavailability due to events beyond our control (e.g., acts of God,  power outages, government restrictions, or technical failures).  

  1. Laws and Liability  

If AHBS has reasonable grounds to believe that an event may negatively impact on our  reputation, security, or staff wellbeing, we reserve the right to cancel the booking 

without liability.  

  1. Privacy Policy  

AHBS is committed to protecting your privacy. Any personal information collected  during the booking process will be used solely for administrative and communication  purposes. We do not share your information with third parties without your consent,  except as required by law.
